Essential Duties and Responsibilities:
 

ORDER ENTRY:

  • Check “Orders Ready to Be Entered” report 2-3 times daily to keep order processing current and orders prioritize.
  • Specify Project ID code for order based on customer type, need by date, parts availability and plant capacity.
  • Verify Customer information and special instructions, special terms, pricing/discounts and tagging information.  Check product information for hook-up, customs, quote references, necessary details to enter order.
  • Any questions must be addressed by calling or emailing Customer for clarification.  If Customer doesn’t respond within 24 hours, follow-up phone call/email must be sent.  If Customer advises reason that they will not be able to respond for a certain amount of time this must be clearly written on PO.  If response is not received within 72 hours, Manager should be advised.
  • All clarifications must include email from customer as to changes.  If items are added, you must advise that a new PO must be sent.
  • Enter all items and options on order.  Adding all necessary hook-up, grommet/pod, office and key tag information.
  • Note any price discrepancies in the Price Discrepancy field to print on acknowledgement 
  • Enter all inter-market, spiff and Rep Commissions.
  • Tag Rooms by office by setup (when available) and key all offices alike.
  • Include “See sketch” on custom items with signed off sketches. 
  • Use consistent language on tagging including grommet location, hookup info, etc. to make it easier for plant to interpret.
  • Schedule orders in accordance to policies, order requirements, production capacity and as required to maintain steady production weeks.

INITIAL ORDER PROOFING:

  • Carefully proof entire order against order proofing spreadsheet to ensure all items were setup and are entered correctly.  Check discount, finishes, tags, etc.
  • Mark order with “D” if requested date requires action by customer service – i.e.: Critical Delivery, Must ship by, Date N/A, etc.    
  • Make any necessary changes to order before being given to second proofer.
ORDER PROOF RELEASE, CREDIT RELEASE, AND CHANGES:
  • Proofed Orders will be given to this position to be “proof released” in the system
  • The “Create Work Orders from SOs” report will be run at the end of the day to check for credit released orders.  The ship date will be checked on credit released orders and adjusted if necessary before creating work orders.
  • Order and ship date change requests, approved by management will be handled by this position.  Any order to be changed will be reviewed for work order status and the change will be processed accordingly.
ORDER ENTRY SUPPORT DUTIES:
  • Upon receipt of Order on Fax or via email, ensure all pages are available and adequate items are on order for logging (style code, finish, item description, customer name, PO amount.  If any of these items are missing, give the PO to customer service to obtain required information. 
  • Order should be placed in logging envelope for Front desk. Check orders 3 times daily and take to Front Desk during morning break, lunch and afternoon break.
  • Provide Engineering clarification on PO/Quotes pulled from the system for SKU set-up.

Required Skills:

  • At least 3 years order entry experience, preferably in a related field.
  • Proficiency in Microsoft Office Suite required, AS400 or similar inventory management system.
  • Ability to learn quickly, take on additional responsibilities, and communicate effectively.
  • Strong attention to detail.
  • Familiarity with furniture components a plus.
